Manage organization structure

Learn how to manage your organization structure. You can create the organization structure either by directly creating nodes, or by importing the organization structure data using the template file format.

Each node is identified with a unique Node ID. You cannot change the Node ID after it has been imported or created, and it is recommended that it is no more than 5-10 characters long.

You can edit the organization structure and its nodes after they have been imported or created. However, the top level, or root node, in the organization cannot be deleted and the Node ID cannot be changed once set. If a new structure is imported, it replaces the existing structure. Note that, if you import a new organization structure, the Node ID of the top level in the organization must be the same as the existing top level.

Create organization structure without the template

You can create an organization structure by adding nodes to the structure.

  1. On the Snow Atlas settings menu, under Account select Organization structure.

  2. Select Create first node.

  3. Enter a unique identifier for the Node ID. It is recommended that the Node ID is no more than 5-10 characters long.

    note

    The Node ID cannot be changed later.

  4. Enter a Node name.

    • The Node name appears in the organization structure and can be changed later.

    • The Node name cannot contain the following characters: | ' + / :

  5. Select Create.

Create organization structure using the template

To create an organization structure, you can download a template in CSV format, which you then import.

  1. On the Organization structure page, select Download template.

    note

    If you have already started to create the organization structure and want to download the empty template, on the Organization structure page, select Import structure, and then select Download template.

  2. In the CSV file, enter comma-separated values for each header:

    HeaderValue required
    NodeIDEnter a unique identifier for the organization. The Node ID cannot be changed later, and it is recommended that it is no more than 5-10 characters long.
    This value is mandatory.
    ParentIDEnter the node ID for the parent organization.
    This value is mandatory for all child nodes. Only the top level in the organization has no Parent ID.
    IsLegalIndicate if the organization node is a legal entity. Enter yes or no.
    This value is mandatory.
    NodeNameEnter a name for the organization. This name appears in the organization structure.
    The Node name cannot contain the following characters: | ' + / :
    This value is mandatory.
  3. Save your file.

  4. Import your organization structure.

Import organization structure

  1. On the Organization structure page, select Import structure, and then Import.

  2. In Upload file, drag and drop, or browse for the CSV file that you want to import.

  3. Select Next.

  4. Review the preview of the organization structure that appears.

  5. Do one of the following:

    • If you want to import the organization structure, select Confirm.

    • If you have made more changes to the file that you want to import, select Previous, and repeat steps 2 to 4.

    • If you want to cancel the import, select Cancel.

Edit organization structure using CSV file

You can edit the existing organization structure by replacing it with an amended CSV file, which you then import. It is recommended that the CSV file is a maximum of 500 KB.

  1. On the Organization structure page, select the export icon.

  2. Optional: Enter a file name. A default name is provided.

  3. Select Export.

  4. When the file is ready to download, select Download.

  5. In the CSV file that you download, make your changes.

    note
    • You cannot change the existing IDs or Node IDs. A change to an existing ID or Node ID results in the removal of that node from the structure and assignments to that node can be lost.

    • You can change the Parent ID but be aware that assignments to the node can be affected.

  6. Save your file.

  7. Import your organization structure.

Add nodes to the organization structure or edit nodes without CSV file

  1. On the Organization structure page, do one of the following:

    • To add a new node, select Add node, or from the Actions menu for the node that you want to add a child to, select Add child node.

    • To edit an existing node, from the Actions menu for the node that you want to edit, select Edit.

  2. Enter a Node name.

    • The Node name appears in the organization structure and can be changed later.

    • The Node name cannot contain the following characters: | ' + / :

  3. For a new node, enter a Node ID. It is recommended that the Node ID is no more than 5-10 characters long.

    note

    The Node ID is a unique identifier of the node and cannot be changed later.

  4. Select the Parent node.

  5. Optional: Select This node is a legal entity.

    note

    The top level of the company is normally registered as the legal organization; that is, the legal entity that owns the software and hardware assets. If the organization has multiple legal entities, there can be multiple legal organization nodes.

  6. Select Save.

Delete nodes

  1. On the Organization structure page, on the Actions menu for the node that you want to delete, select Delete.

    note

    The top-level node in the organization structure cannot be deleted.

  2. Do one of the following:

    • If you select a parent node, in Delete a parent node, select Delete.

      The node and all its child nodes are deleted.

    • If you select a node without child nodes, in Delete node, select Delete.

Find nodes in the organization structure

  • On the Organization structure page, start typing search criteria in the Search box.

    The organization structure is filtered as you type.
