Manage MLS imports

Data in Microsoft License Statement (MLS) files can be imported into SAM Core on Snow Atlas.

The Microsoft License Statement is a report that shows a customer's Volume License entitlements for each Microsoft product, version, and edition. It is based on the Volume License agreements and purchase transactions under those agreements, as reported to Microsoft by resellers. If you have an MLS file with data for your organization, you can import that data into SAM Core.

The MLS is an Excel spreadsheet with a number of tabs. When you import data into SAM Core, you import information from the License Agreement tab and the Transaction Data tab. For detailed information on the columns of these two tabs, see Data Import Field Description.

The MLS import will import agreements and licenses, and map the licenses to applications in SAM Core using the SKU repository. Also, the import will apply information on product use rights where applicable.

Prerequisites

Before you start the import, ensure that the report has been thoroughly validated and that you understand what the MLS import does.

You must not make changes to the MLS file. When you import the file, it must be in its original state and format (XLSX).

Import MLS files

In the Preview of agreements to import and the Preview of licenses to import steps of the wizard, errors, missing information, and data that differs from what is expected are highlighted. It is possible to continue with the import even if there are invalid rows in the source file, but rows that are highlighted in red will not be imported.

  1. On the SAM Core menu, under Home, select Data imports.

  2. Select MLS import.

  3. In MLS import - Upload an MLS document (step 1 of 5), do the following:

    1. Select Browse, and then select the MLS file that you want to import.

    2. Select Next.

  4. In MLS import - Import settings (step 2 of 5), do the following:

    1. If you want to use organization alias to place the agreements and licenses according to the organization structure, select Use organization alias for agreements and Use organization alias for licenses. Otherwise, leave the checkboxes cleared.

    2. Select Next.

  5. In MLS import - Preview of agreements to import (step 3 of 5), do the following:

    1. Verify that the information is correct. Errors and invalid values are highlighted. You can download two files that can be helpful for the verification:

      • To export a list of all agreements being processed, select Export all agreements.

      • To export a list of the agreements that, for some reason, will not be imported, select Export discarded agreements. For information on the reason, see the Error column.

    2. Select Next.

  6. In MLS import - Preview of licenses to import (step 4 of 5), do the following:

    1. Verify that the information is correct. Errors and invalid values are highlighted, for example, incomplete licenses. You can download three files that can be helpful for the verification:

      • To export a list of all licenses being processed, select Export all licenses.

      • To export a list of the licenses that will not be imported, select Export discarded licenses. For more information, see the Error column.

      • To export a list of all licenses that are incomplete, select Export incomplete licenses. For more information, see the Error column.

    2. To start the import, select Next.

  7. In MLS import - Saving data to database (step 5 of 5), do the following:

    1. Wait for the import to complete.

    2. Optional: Select to download, view, or archive one or more of the files Export all agreements, Export discarded agreements, Export all licenses, Export discarded licenses, and Export incomplete licenses.

    3. Select Finish.
